QQuote & Margin Studio
Product guide

From quote to payment.

Open your workspace

Start your free trial

Choose Try it now and enter your name, business contact details, business name and address. Agree to the terms and privacy notice, then continue. Create a password and verify your email to secure your account. Once registration is complete, your workspace opens automatically without payment details. After your trial, choose €9.99 monthly or €95.90 yearly billing and continue to Stripe only if you want to subscribe. The 14-day trial is available once per account.

Your plan and cancellation

Both plans include applicable VAT and the same features. The trial does not bill or renew automatically. If you subscribe after it, the monthly plan charges €9.99 at checkout and the yearly plan charges €95.90 in one full-year payment. Paid subscriptions renew monthly or yearly until cancelled. The yearly price gives a 20% discount, rounded to cents, compared with twelve monthly payments.

Plan & billing shows your trial end time or paid period. When email delivery is configured, a single reminder is submitted near the end of the no-card trial and another after it ends. Choose Manage or cancel subscription to update payment details or cancel through Stripe. No cancellation is needed during a no-card trial. During a paid period, cancellation stops the next renewal. Existing documents remain viewable and downloadable if access ends. Payment setup uses Stripe’s secure hosted checkout.

Set up your business once

Enter your business name, address, contact details and optional VAT number during registration. These details are saved to your account before any payment setup and added automatically to quotes and invoices. If details already exist in a saved document, they are preserved as a reference while you complete the separate address fields once. Update them from Business profile when needed; issued documents keep their original details.

Save a quote

Choose New quote. The builder guides you through Client & project, Costs & pricing, and Review & issue. Continue moves to the next step; Back or the step buttons let you revisit details. Hover over a field or focus its question mark for guidance. Save draft is always available and keeps an editable draft in your signed-in workspace.

Money and percentages allow two decimal places; quantities and hours allow three. Margin is profit divided by the price excluding VAT. The selling price rounds up to the next cent so your target margin is met. VAT treatment is entered manually.

Record the client's decision

In Review & issue, choose Issue quote when the document is ready. Its details are then locked. Choose Send by email to review the recipient, subject and message, with a PDF copy attached by default. If email sending is not connected, download the PDF and send it through your own email app. In Quotes, choose Record response to mark the client’s response as accepted or declined. Use New version to prepare a revised offer linked to its original. On an accepted quote, Add change order starts a separate quote with the client filled in and costs cleared. Enter only the extra work, then issue it for separate acceptance and invoicing. Copy the private review link, share it on WhatsApp after reviewing the recipient, or send the quotation by email; the client can approve or decline on the review page. Anyone holding that link can see the customer-facing quotation. Your costs and margin remain private.

Create an invoice

Choose Create invoice on an accepted quote, or open Invoices and choose Create invoice to pick any accepted quote with an unbilled balance. Invoice the full remaining balance, a percentage of the original quote or a fixed amount including VAT. The preview shows this invoice, the amount already invoiced and the remaining unbilled balance. Linked invoices cannot exceed the accepted quote total. Review dates, customer details, tax information and payment instructions before issuing.

Invoice numbers are assigned automatically. Issued financial details remain locked. Open an invoice and choose Record a payment. Enter only the new payment amount, its date, method and an optional reference. The app adds it to earlier payments automatically. Payment history shows each entry; remove an incorrect entry to correct the outstanding balance without changing the issued invoice. Copy the online payment link to let the client pay the outstanding amount on Stripe Checkout. Once Stripe confirms the payment by webhook, the invoice balance updates automatically. Stripe payments cannot be deleted as manual entries; contact support for a correction or refund.

Send now or later

Issued quotes and invoices have an Email delivery section. Choose Send by email, review To, Subject and Message, and choose whether to attach the PDF. Select Send now or Schedule email. Scheduled times use your device’s local timezone and can be up to 30 days ahead. After you confirm, the email service handles delivery even when the app is closed.

Submitted means the email service accepted the request; it does not confirm delivery. Delivered means the client’s mail server accepted the email, which may still appear in spam. Open the document or choose Refresh status to check the latest result. Bounces, blocked addresses and failed requests show an explanation. Cancel a scheduled email before replacing it. Send again creates a new email and keeps the previous submission in the document’s email history.

If the result is uncertain, Check submission retries the original message safely within 23 hours; the recipient and content stay locked to avoid duplicates. After that window, the app owner must check the provider’s record before another attempt.

If the verified email sender is unavailable, no automatic email can be sent or scheduled. The send dialog lets you download the PDF and open a prepared message in your own email app. Attach the downloaded PDF and press Send there yourself. Opening the email app does not send a message or attach the file automatically, and it does not change the app’s delivery status.

Find your way around

The side menu keeps Dashboard, Quotes, Invoices, and Items & templates together. Business profile is under Your business. On a phone, use the menu button at the top. Quote and invoice lists have status filters, search and period controls. Reset shows all dates and statuses. Each list remembers its filters while you work.

Use the dashboard

Select a day, month, year or all dates. Your next moves highlights unfinished drafts, quotes ready to invoice and overdue invoices across all dates in the selected currency. Quotes and invoices are counted by their issue date, with drafts excluded from dashboard totals. Currency totals are separate. Conversion is the percentage of quotes issued in the selected period that have at least one invoice at any date; several part-payment invoices still count as one converted quote. Profit and follow-ups shows estimated profit on accepted quotes, costs recorded to date and quotations awaiting response for three or more days.

Reuse items and templates

Save items with a usual unit cost in Items & templates. Choose a saved item while building a quote. From an issued quote, choose Save as template to reuse its scope and cost structure; client details are cleared. Import up to 200 saved items with a CSV headed description,unit_cost; download the example from Items & templates. Matching descriptions update their saved cost, without changing old quotes. On issued quotes, record actual job expenses to compare the estimated cost with costs entered to date. The profit figure is final only after all costs are recorded.

Standalone and monthly invoices

Choose Create invoice, then Standalone invoice when there is no accepted quote. Enter the client, amount, currency, dates and any applicable tax treatment. On an issued invoice, Issue a copy now creates an independent invoice with a new number. Set up monthly invoice saves the next date and delivery choice; the daily scheduler creates a new invoice each month while the subscription is active. If automatic email is selected, the verified sender emails it. Stop repeating to end future invoices.

Follow-ups and exports

When sending an issued quote, you can enable a three-day follow-up if the client has not responded. The email service schedules it, and the app requests cancellation when a decision is recorded. Check the quotation’s Email delivery panel for the status or cancel it there. Quotes and Invoices each offer Export CSV for the current filters and currency. Invoices also offer an accounting ledger CSV containing separate invoice, credit-note and payment rows. Review field mapping before importing it into another system.

Credit notes

On an invoice, issue a numbered credit note for some or all of its unpaid balance and download the PDF for your client. The original invoice remains intact and the outstanding balance is reduced. A credit cannot exceed the unpaid amount or be issued while an online payment session may still complete. Paid amounts and refunds require separate review.

Install on your device

On supported mobile and desktop browsers, use the browser’s Add to Home Screen or Install app action. This creates an app icon for the same secure workspace. An internet connection is still required to sign in and save work.

Download a PDF

Download PDF creates a paginated A4 document with fixed margins, embedded fonts and page numbers. Internal costs, hourly rates and profit are excluded. Long descriptions and terms continue on additional pages.

Existing records and access

Quotes saved by the earlier version in this browser are imported as drafts without deleting the local originals. Mark any already sent quotes as issued. New saves are stored in your private workspace, accessible on another device when signed into the same account.

The downloadable offline calculator is a separate edition; its records remain on the device and it does not provide cloud invoices or email scheduling.
